POSITION SUMMARY:
The primary responsibilities of this role are to support and administer utility construction projects by coordinating project documentation. This position serves as liaison between field operations, project management, accounting and is responsible for ensuring required information is complete, accurate, properly documented and followed through to completion.
RESPONSIBILITIES:
• Collect, review and process daily field documentation, including timesheets, billing units, tickets, job briefings, photos and project records
• Review all documentation for accuracy, completeness and proper job/cost coding; identify discrepancies and coordinate corrections as needed
• Maintain project tracking logs, documentation and required submissions, ensuring the information is current, accurate and complete
• Coordinate with field personnel, client personnel and accounting to obtain required information and resolve documentation discrepancies
• Proactively track outstanding items, follow up and escalate unresolved issues until deadlines are met
• Process and maintain supporting documentation for purchase orders, vendor invoices, credit card receipts, AP approvals and payroll requests
• Support monthly job cost and accounting close by ensuring required transactions and documentation are complete and processed timely
• Scanning, filing and cataloging documents to their referenced projects
• Perform general administration duties as assigned
QUALIFICATIONS:
• Experience in project coordination, construction administration or a related role preferred
• Exceptional attention to detail and organizational skills
• Strong follow-up with the ability to manage multiple priorities and deadlines
• Strong communication and problem-solving skills
• Proficient in Microsoft Office and comfortable learning new systems
Reports to: Financial Manager
Business Unit: Utility Division
Compensation: $55,000 to $70,000 annually
