POSITION SUMMARY:
The Senior Payroll Specialist is responsible for the accurate and timely processing of multi-state, union and non-union payroll and provides day-to-day oversight of payroll operations. This role supports the Payroll Manager in ensuring payroll compliance, resolving complex payroll matters, coordinating payroll-related audits, and maintaining effective payroll processes across the organization.
RESPONSIBILITIES:
Payroll Processing & Administration
• Accurate and timely processing of weekly in-house payroll through Vista Viewpoint for union and non-union employees across multiple states.
• Review payroll inputs, including timecards, pay rates, union craft/class rates, bonuses, deductions, exemptions, and other payroll changes, to ensure accuracy prior to payroll submission.
• Maintain payroll records by entering and reviewing changes to employee compensation, tax withholdings, deductions, exemptions, union rates, and other payroll information.
• Investigate and resolve payroll discrepancies in a timely manner.
• Process and remit multi-state payroll taxes through ADP, ensuring payments and filings are completed accurately and timely.
• Maintain payroll operations in accordance with company policies, procedures, and applicable federal, state, and local regulations.
• Cross-train on payroll functions and provide support to other members of the Payroll team as needed.
• Communicate with all levels of management to ensure timecards are submitted accurately and timely.
Compliance, Audits & Reporting
• Coordinate year-end W-2 processing and assist with year-end payroll activities.
• Prepare and maintain certified payroll reports and ensure required reporting is completed accurately and timely.
• Oversee and coordinate union payroll audits, including gathering requested documentation, responding to auditor inquiries, researching discrepancies, and working with internal stakeholders and union representatives to resolve issues.
• Process payroll-related garnishments and other required deductions in accordance with applicable requirements.
• Process employment verifications and unemployment claims as needed.
• Prepare payroll reports and special analyses for management as requested.
• Monitor payroll processes and requirements to identify opportunities for improved efficiency, accuracy, and compliance.
Employee & Management Support
• Serve as a resource to employees, field managers, union representatives, and management regarding payroll-related questions and issues.
• Work directly with unions and senior management to research and resolve complex payroll matters.
• Maintain confidentiality of employee compensation and payroll information and protect the integrity of payroll operations.
• Support the Payroll Manager with special projects, process improvements, and other payroll-related initiatives.
• Perform other duties and responsibilities as assigned.
• 5+ years of experience processing union and non-union multi-state payroll.
• Bachelor’s degree in Accounting, Finance, or related Business field a plus.
• Experience processing multi-state payroll and working with state and local payroll tax requirements.
• Strong knowledge of payroll processes, regulations, deductions, and compliance requirements.
• Construction industry, in-house payroll experience preferred.
• Experience with Vista Viewpoint preferred.
• Experience working with ADP or a comparable payroll tax processing system.
• Experience working directly with unions and supporting or coordinating union payroll audits.
• Strong analytical and problem-solving skills with exceptional attention to detail.
• Resourceful with the ability to independently research payroll questions, identify solutions, and think outside the box when addressing complex issues.
• Strong oral, written, and interpersonal communication skills.
• Ability to effectively communicate with employees, field management, unions, auditors, and senior management.
• Self-motivated and able to effectively prioritize and execute multiple tasks in a high-pressure, deadline-driven environment.
• Ability to work independently while also contributing effectively within a team-oriented, collaborative environment.
• Strong organizational skills and ability to maintain a high level of confidentiality.
• Membership in the American Payroll Association (APA) is a plus.
Reports to: Payroll Manager
Location: Farmingdale, NY Business Unit: Human Resources
Compensation: $70,000 - $90,000
