Responsibilities

Summary: The Project Administrator will provide administrative and project support services to ensure the efficient operation of construction projects. This role will assist the project team in documentation management, scheduling, compliance tracking, procurement, and coordination of daily project requirements.

 

Duties and Responsibilities:

 

Timesheet Management and Payroll Compliance:

  • Collect weekly timesheets from field foremen and review for completeness and accuracy.
  • Verify proper pay classifications and labor compliance information on daily timesheets.

Meeting Coordination and Documentation:

  • Attend project meetings (internal and external) and prepare detailed meeting minutes
  • Distribute and maintain organized logs of meeting records.

Project Documentation and Submittals:

  • Prepare and submit project documentation, including
  • Two-week lookahead schedules.
  • Lane closure requests and traffic control plans.
  • Sources of supply and material certifications.
  • Shop drawings and related submittals.
  • Collect, organize, and distribute material certifications and compliance documents.
  • Maintain detailed logs for all project submittals and approvals.

Procurement and Vendor Coordination:

  • Assist in preparing purchase orders and subcontract agreements.
  • Call vendors, confirm pricing, and place material and equipment orders as needed.
  • Track procurement activities to ensure timely delivery to the project site.

Field Quantities and Pay Applications:

  • Collect field quantities from project staff.
  • Prepare and maintain spreadsheets for tracking quantities and supporting monthly pay requisitions to clients.

Compliance and Reporting:

  • Track, prepare, and distribute various compliance reports, including DBE participation, trainee program tracking, and other project-specific requirements.
  • Maintain organized compliance documentation in accordance with project and contractual requirements.

Training and Safety Coordination:

  • Schedule required safety trainings, certifications, and renewals for project personnel.
  • Maintain updated records of employee certifications and training status.

Administrative and Accounting Support:

  • Collect company credit card receipts from project personnel.
  • Sort, code, and upload receipts to the appropriate accounting systems.
  • Provide general administrative support to the project team as needed.

Qualifications

Qualifications/Skills Required:

  • 2+ years of experience in construction administration, project support, or a related field preferred.
  • Proficiency in Microsoft Office.
  • Spanish-speaking skills are highly preferred to effectively communicate with diverse teams and stakeholders.
  • Experience with construction management software (e.g., Procore, HeavyJob, Viewpoint) is a plus.
  • Strong communication, problem-solving, and teamwork skills.
  • Familiarity with construction processes, documentation requirements, and labor compliance reporting.
  • Ability to manage multiple priorities and meet deadlines independently.

Reports to: Martins VP of Estimating.
