POSITION SUMMARY: The Project Administrator assists & supports the Project Management team in performing administrative functions such as assisting in preparing/transmitting internal and external documents, general filing and document controls, organizing, routing and coding of internal and external (subcontractor & vendor) billings/invoices, obtaining and processing field data, and other tasks as assigned by the Project Management team.
RESPONSIBILITIES:
• Assist in the preparation, distribution and processing of various project documents such as subcontracts, purchase orders, change orders and the like.
• Obtain, file and distribute various project documents, certifications and invoices and maintain project files.
• Call suppliers, vendors and subcontractors to obtain prices, place material orders or schedule work as directed by the project managers.
• Prepare and transmit submittals and letters.
• Obtain insurance documents from subcontractors and vendors, track the expirations dates and contact vendors to obtain renewal certificates.
• Support data entry work in viewpoint for sub-contracts and purchase orders.
• Assist in the estimating process by requesting quotes from subcontractors and vendors.
• Collect and process data/documents collected from field staff. The specific tasks would include:
o Ensure daily reports are obtained regularly.
o Run a preliminary check to ensure all worker hours have been reported.
o Ensure daily diaries are filled out.
o Ensure daily quantities are submitted and logged.
o Obtain, sort and distribute credit card receipts, packing slips, delivery tickets, driver logs, safety inspections and other required field documents.
• Establish processes and procedures for the various project management tasks, in close coordination with the admin and project management teams.
• Assisting Reception with the following:
o Handle incoming phone calls in a polite and friendly manner and distribute messages
o Employee intake applications and onboarding process
o Greet and welcome guests
o Manage outgoing letters and packages
o Receive, sort, and distribute incoming mail and deliveries
o Clerical duties such as, filing, copying, scanning, printing, and faxing
o Calendaring for and preparing conference room
o Keeping office neat in appearance
o Assist with vendors and ordering office supplies
• Other tasks and duties as assigned
• Proficient in speaking and writing English and Spanish preferred.
• High school diploma or general education degree (GED)
• 3+ years of previous experience in administrative support
• Microsoft Office Suite and internet proficiency
• Fast learner
• Multitasking, organizational, and time management skills
• Strong customer service, verbal, and communication skills
• Professional email and in-person demeanor
• Must be a team player and have patience
• Hands-on experience with office equipment
• High level of confidentiality
Location: Falls Church, VA
Hours: 8am-5pm (full-time in-office), with ability to work extended hours from time to time.
